A diagnostic before a single change

We go through the file account by account and produce a written list of what is actually wrong, ranked by what it is costing you. That might be twelve small annoyances or three structural problems. Either way you see the findings and the quote before we touch anything, and you are free to take the report and fix it yourself.

Undeposited funds and the accounts that never clear

Undeposited funds is the single most common wreck in a QuickBooks file. Payments get recorded against invoices, then the deposit gets entered separately from the bank feed, so income is counted twice and a phantom balance accumulates. The same pattern shows up in opening balance equity, ask-my-accountant and suspense accounts. We work out what each balance is made of and clear it against real transactions.

Repairing the chart of accounts without losing history

Files drift. Accounts get created because the right one was hard to find, duplicates accumulate, and by year three nobody can compare this year to last. We merge duplicates, retire accounts that should never have existed and restructure what remains, then remap historical transactions so prior-year comparisons still work rather than breaking the moment you tidy up.

Receivables and payables brought back to reality

Old open invoices from customers who paid, credits never applied, vendor bills entered twice, and payments recorded as expenses instead of against the bill. All of it distorts both your aging reports and your balance sheet. We reconcile the subledgers to the control accounts and write off what genuinely should be written off, with a note explaining each one.

Journal entries and adjustments audited

We review every manual journal entry in the period, because that is where forced fixes hide. Unexplained adjustments to make a reconciliation close, reversing entries that were never reversed, and depreciation or accrual entries that were posted twice all get traced back to what they were meant to do. Anything we cannot substantiate is listed for your CPA rather than quietly kept.

Documentation, and how to stop it happening again

You get a written record of every correction: what it was, what it became and why. Alongside it we leave the practical part — which accounts to use for the transactions that were causing confusion, what to do at month end, and where the previous process broke down. A repaired file drifts again in a year if nothing about the habits changes.
