When people search for "QuickBooks file repair", they usually mean one of two very different problems. Either the file itself is damaged and the software is misbehaving, or the file opens perfectly well and the numbers inside it are wrong. The fixes are different, the people who do them are different, and treating one as the other wastes time and money.
This is how to tell which one you have, and what to do about each.
Sign one: the software is misbehaving
These point to a damaged data file, which almost always means QuickBooks Desktop. QuickBooks Online has no file on your computer to damage.
- The file will not open, or opens with an error code.
- QuickBooks crashes or freezes when you run a particular report or open a particular list.
- Lists show blank or garbled names.
- A report that used to run now fails partway through.
- The same report gives different totals each time you run it, with nothing changed in between.
Sign two: the numbers are wrong
These point to bookkeeping problems. The software is doing exactly what it was told; it was told the wrong things.
- Revenue in QuickBooks does not match your sales in Stripe, Square or Shopify.
- The bank balance in QuickBooks does not match the bank statement.
- There is a balance in Opening Balance Equity or Uncategorized Expense that nobody can explain.
- Your accountant has sent the file back, or asked questions you cannot answer from it.
- The same expense, deposit or bill appears twice.
If everything on your list is from the second group, you do not have a damaged file. You have books that need cleaning up, and running a repair tool will not change a single number.
When the file really is damaged
Intuit provides the tools for this. QuickBooks Desktop has Verify Data and Rebuild Data under the File menu's Utilities, and Intuit's QuickBooks Tool Hub includes a File Doctor for files that will not open. Before you run any of them:
- Make a backup first, and keep it somewhere other than the computer you are working on.
- Run Verify Data before Rebuild Data. Verify only reports problems. Rebuild changes the file, so it is worth knowing what it found first.
- Work on a copy if the file matters, and keep the original untouched until you are sure the repaired version is complete.
- Contact Intuit support if the tools do not resolve it. Data-level corruption is their product, and they have recovery options no outside firm does.
Repairing a damaged data file is software support, and Intuit is the right first call for it. What we do, as a bookkeeping firm of certified QuickBooks ProAdvisors, is the second kind of fix.
When the numbers are wrong
This is the more common problem, and it is the one we fix. A cleanup is not a repair tool. It is a person going through the file and correcting what is in it:
- Every account reconciled to its statement, month by month, for each period that is wrong. This is where duplicates, missing transactions and miscoded deposits surface.
- Payment processor sales recorded properly, as gross sales with fees and refunds separated, so revenue matches what you actually sold.
- Duplicates removed where an app and the bank feed both recorded the same transaction.
- Unexplained balances cleared, including Opening Balance Equity and anything parked in uncategorized accounts.
- A log of every change, so your accountant can see what was corrected and why.
At the end you have a file whose numbers you can trust, and a record of how it got there.
If you are moving off QuickBooks Desktop anyway
A damaged Desktop file is often the moment a business decides to move to QuickBooks Online. If that is you, clean the data first or as part of the move, not after it. Problems in the books migrate along with everything else, and they are harder to trace once they have moved. A setup done properly starts from verified opening balances, so the new file begins clean.
Where to start
If your symptoms are in the second group, our QuickBooks consulting and cleanup work is built for exactly this. If the file is also months behind, start with catch-up bookkeeping, and if you are moving to QuickBooks Online, see QuickBooks Online setup.
We do this remotely for businesses anywhere in the US. Our pages for Seattle, Portland and Raleigh describe what a cleanup looks like for the kinds of businesses in those cities. Or get in touch and tell us what you are seeing, and we will tell you which kind of problem it is.
